Who handles your information
Visa Bali Service is a private visa-assistance service in Bali working with a licensed Indonesian visa agency. When you request application assistance, the agency partner helps process and lodge your case. This notice explains the information handled through our website and the agency service. For questions or privacy requests, email contact@visabaliservice.com.
Information entered on this website
The visa finder uses your selections, such as passport nationality, purpose and planned stay, to suggest a route. If you continue through the application portal, we collect your name, email, WhatsApp number, travel details, passport photo page and recent passport-style photo; a flight ticket is optional. You verify your email with a one-time code before creating or resuming a request.
If you use the contact form, we send your name, email address, optional phone number, selected service and message to contact@visabaliservice.com through Google Workspace so our team can reply. These enquiries are handled as email correspondence and are not saved in the visa application database. Do not include passport numbers or attach passport scans in the contact form.
Information used for an application
If you choose to apply through our team and agency partner, information may include your name, date of birth, contact details, passport scan, photograph and travel plans. You are responsible for providing accurate information. We use it to advise on the requested route, prepare and lodge your application, communicate with you and provide follow-up support.
Storage and sharing
Passport scans, photos and optional travel documents are stored in a non-public Supabase Storage bucket. Applicants can access only their own active request files. Authorised VBS reviewers access files through secured project tools to assess the request. If the case can proceed, relevant documents may be shared with the licensed Indonesian visa agency partner, an authorised local sponsor and Indonesian Immigration to prepare or lodge the application. Documents are not shared for marketing. We do not sell personal information.
VisaStation’s published privacy policy says personal information may be processed at its operating offices and at locations where its service providers operate, including outside your country. It describes retention as limited to what is needed for the stated purposes and legal obligations; it does not publish a fixed number of years or a specific document-deletion deadline. Ask VBS or VisaStation about the handling of your case before sending passport scans.
How long documents are kept
Documents are stored in a private Supabase Storage bucket. If we cannot proceed with a case, uploaded documents will be automatically deleted within 24 hours of that decision. If the case proceeds, documents will be automatically deleted after the application is lodged with Indonesian Immigration. Automated deletion is scheduled: documents for cases that cannot proceed are deleted within 24 hours of the decision, and documents for cases that proceed are deleted after lodgement with Indonesian Immigration. Some records may need to be retained where the law requires it. The licensed agency partner may have separate legal retention duties for records it receives. You may request access, correction or deletion from VBS at contact@visabaliservice.com; requests involving information held by VisaStation may also be sent to info@visastation.id.
Third-party services and updates
Supabase provides authentication and private file storage for the application portal. Cloudflare Turnstile processes technical browser, device and network signals to help detect automated abuse when you use the contact form. Email and WhatsApp providers process messages under their own privacy terms. No payment is collected when you send a request; if the case can proceed, we send a written quote and secure payment link for your review. We may update this notice if the website or our handling practices change. Indonesian data handling is subject to applicable law, including Law No. 27 of 2022 on Personal Data Protection.
Only upload passport and travel documents through the secure application portal. Do not send passport scans by ordinary email or WhatsApp unless your case officer provides a specific secure instruction.
